The San Francisco Conservatory of Music seeks a highly organized and detailed Scheduling & Rentals Coordinator to manage the scheduling and bookings of all SFCM spaces, in both the Ann Getty Center for Education and the Bowes Center, as well as assist with rental contracts and payments. Reporting to the Assistant Director of Artistic Operations, the position will manage the Bookings Office for the school, scheduling activities in classrooms, performance venues and meeting spaces, and ensuring that the bookings needs of SFCM students and faculty are met efficiently, while maintaining consistency and accuracy of all scheduling within the school’s scheduling software, EMS. The position will also work closely with the Associate Vice President of Artistic Operations in coordinating the rentals program and process, making sure that contracts, invoicing and payments are all processed in a timely manner. As part of the Artistic Operations team, the position may also be asked to help with other Concert Operations items, such as Box Office and Front-of-House operations.
Requirements
Scheduling 75%
Manage daily and weekly room scheduling for the 600+ SFCM Community Members, through SFCM’s campus scheduling system, EMS
Work with faculty and staff in scheduling halls and classrooms for lessons, classes, rehearsals, and other events
Oversee the bookings process for students requesting performance halls and classrooms for rehearsals and self-recordings
Coordinate Performance Hall reservations with Director of Ensemble Operations for all Large
Ensemble rehearsals and concerts, including Opera and Musical Theatre productions
Assist with collecting information on production logistics related to concerts, rentals, and other special events
Assist the Assistant Director of Artistic Operations and the Concert Operations Manager with scheduling and box office requests
Assist with scheduling of rentals of SFCM spaces
Troubleshoot scheduling conflicts in a professional and efficient manner, with faculty, students and staff
Performing other duties as assigned
Assist the Associate Vice President of Artistic Operations with the rentals program
Maintain an organized schedule of rentals for the school year and the summer months, including payments
Serve as a primary point of contact for vendors inquiring about SFCM spaces for rentals
Draft and send out rental agreements and invoices to vendors renting SFCM spaces
Ensure that payments are submitted by vendors in a timely manner
Coordinate invoices and payments with the Accounts Receivable office
Manage details of rental events with Production, Concert Operations, Security and other departments as needed
Excellent verbal and written communication skills
Ability to coordinate and manage multiple projects at any one time
Ability to identify and implement process improvements in collaboration with the Assistant Director of Artistic Operations
Ability to train student workers to deliver outstanding customer service to the general public and to members of the SFCM community
Preferred Qualifications
Experience with scheduling systems, such as EMS, is a plus
Experience in not-for-profit arts administration
Experience working with students at an institution of higher education
Degree in music and/or other fine arts
Experience with running integrated email campaigns, DotDigital or similar
Background in the performing arts preferred
