Medical Training Coordinator

We are seeking a Medical Training Coordinator to work independently to coordinate all medical student programs for the Department of Medicine, including the Medicine Core Clerkship, the Advanced Clerkship in Medicine, central management of electives, and student applications to residency. Uses in-depth knowledge to anticipate, organize, and support the activities of these medical educational programs. Suggests and implements program improvements. This position will also work with the Vice Chair for Education, Residency Program Director and Residency Program Manager to support the administrative efforts for the Firm Faculty model and the residency Pathway programs. The Medical training Coordinator will also be familiar with other roles in the Office of Education and provide cross coverage for other staff as needed.

Specific Duties & Responsibilities

Medical Student Programs

Coordinate clerkship educational activities; maintain organization and records for the program and other departmental activities.

Regularly communicate with students regarding logistics and requirements of the courses including duty hours and patient tracking.

Requires knowledge of course objectives and standards for performance.

Organize and maintain Canvas, Oasis, Patient Tracker, and New Innovations throughout the academic year keeping all information and documentation up to date.

Provide administrative support for the clerkship director in matters relating to the clerkship.

Process appointment paperwork for offsite part-time faculty.

Prepare and organize materials for PRECEDE, mid-point PRECEDE, and end of clerkship including schedules, room assignments, handouts.

Create noon conference schedule for the clerkship. Organize handouts, evaluations, and organize catering.

Administer and proctor the National Board of Medical Examiners (NBME) self-examinations. Stay up to date on NBME policies and procedures to advise Clerkship Director and students as needed.

Work closely with the simulation center to administer and coordinate standardized patient activities for the core clerkship.

Use New Innovations to manage faculty and student evaluations to provide trainee performance reports to clerkship director to calculate grades.

Maintain student records in a confidential manner. Provide student files to clerkship director for student promotion committee meeting.

Provide administrative support in preparation for SAPE Reviews and Liaison Committee on Medical Education (LCME) accreditation.

Coordinate clerkship evaluation activities, including preparing quarterly and annual reports on course and site performance.

Represent the Department of Medicine at school wide administrative meetings, including clerkship coordinator meetings. Stay up to date on school policies and procedures as they relate to student programs.

Coordinate sub-internship educational activities such as scheduling firm assignment, orientation, noon conferences, and assessment and evaluation activities.

Review and format Letters of Recommendation for clerkship director. Upload Letters of Recommendation to ERAS.

Residency Pathways and Firm Faculty Programs

Provide administrative support to the Vice Chair, Associate Vice Chair, and Assistant Program Director for Faculty Development in the organization of the firm faculty program and firm faculty development program.

Process reimbursements for the firm faculty and pathway directors.

Maintain the following calendars: medical student teaching attending, ACS coverage, and firm teaching.

Arrange room assignments and catering for monthly firm grand rounds. Provide technical support as needed.

Coordinate quarterly meetings for ACS' and firm faculty coaches.

Provide administrative support for the Resident Pathways program. Maintain list of residents in each program. Assist directors with organizing events and recruitment.

Knowledge, Skills, & Abilities

The appropriate candidate for this position will perform duties of a sensitive and confidential nature.

A caring, welcoming, and empathetic attitude is a must.

This position requires a lot of independent thinking and creative problem solving.

Strong communication, organizational, and computer skills required.

The appropriate candidate must demonstrate the ability to work with flexibility on several tasks simultaneously and to meet various concurrent deadlines.

The candidate must the have ability to build professional relationships with faculty, residents, and staff within the division, department, and university.

Minimum Qualifications

High school diploma/GED required. Bachelor's Degree preferred.

Requires a minimum of 2-3 years of administrative experience.

Additional education may substitute for some experience, to the extent permitted by the JHU equivalency formula.

Starting Salary Range: Min $18.00 - Max $33.50 HRLY ($53,560 Targeted; Commensurate with experience)
