TITLE: Admissions Director
REPORTS TO:Administrator
I. JOB SUMMARY
Toplan,organize,develop,andoperatetheAdmissionDepartmentinaccordancewith current Federal, State, and local regulations, standards, guidelines, and facility policy.
Toensurethatallresidentreferralsareproperly screened,andeligibilityisverified,prior to accepting the referral and admitting the patient.
Toensureallrequiredagreementsandformsareobtainedand properlyfilledout/signed by the appropriate parties at time of admission to ensure contract compliance. The Admission Director/designee is responsible for ensuring that accurate information and all required forms/agreements are maintained in the Electronic Medical Record system associated with patient/resident.
Develop and maintain relationships with area community agencies and organizations. Responsiblefordrivingandfacilitatingeffectstreamsofcommunication relatedtothe services of the facility.
II. QUALIFICATIONS
A. Bachelor’s Degree in related field of study (marketing, finance, healthcare/businessmanagement) or 2yearsofdirectexperience.
B. Preferredknowledgeoflong-term care.
C. Communicatesappropriately,isadaptabletochangesinassignmentsand priorities, and can delegate tasks when appropriate.
D. Musthavetheabilitytoworkindependentlyand manageawidevarietyof contact with outside agencies with tact and discretion.
E. Ability to multi-task, meet deadlines in a challenging environment, and be able to think analytically.
F. Always demonstrates positive customer service and a respectful attitude.
G. Technology oriented and must have working knowledge of Microsoft Excel and Microsoft Outlook,EMRsystemswith theabilitytolearn newsoftwareand systems.
H. Preferred experience with insurance portals.
III. PHYSICAL REQUIRMENTS
A. Abilitytomoveintermittentlythroughouttheworkdayandsitata desk.
B. Abilitytoworkinafastpacedanddemanding environment
C. Abilitytodemonstrateemotionalmaturitytoandworkwithill,disabled, elderly, and emotional individuals.
D. Mustbeabletooccasionallymoveandliftsuppliesand equipment.
E. Beingoodgeneralhealth;besubjecttoexposuretoinfectiouswaste, diseases, and other conditions, etc.
IV. ESSENTIAL FUNCTIONS
A. ResidentReferral Process
1. Communicateeffectivelyandefficientlywithhospital, Central Intake Team, o r community agencies regarding admission referrals.
2. Prior to accepting a referral, carefully review the resident’s Skilled Nursing Facility eligibility for Medicaid/Medicare/Insurance in the Eligibilityportals.EnsurethatonlyreferralsthathaveSNFcoverageare accepted.
3. Completerequiredidentifiedoffenderregistryverificationsandinitiate criminal background check requests per facility policy.
4. Ensure that any private pay residents are informed that a 1-month depositand1-monthadvanceisdueattimeofadmissionunlessdeposit waiver is approved by the facility Vice President.
5. Review the referral and ensure that that all the resident and anyresident representative, Power of Attorney, Guardian information is complete.Ifincomplete,workwiththereferralcontactatthehospitalto ensure the information is completed prior to admission.
6. Acceptreservationsforresidentaccommodationsinanaccurateand organized manner.
7. CollaboratewithfacilityInterdisciplinaryTeamtoanalyzereferralstoensure facility can meet resident’s medical and care needs adequately.
8. Notifyreferringagencytimelywith outcome.
9. CollaboratewithAdministratorandnursingdepartmentin assigning appropriate rooms to residents.
10. Communicateresidentadmissions,discharges,orroomtransfersto appropriate departments in a timely manner.
B. Admission Process
1. Implementprocesstoensureallnewresidents,uponadmission,are greeted and escorted to the assigned resident room.
2. Explainfacilityphilosophy,policiesandprocedurestopotential residents,
newresidents,andresidents’ representatives.
3. MaintainaccuratecensuswithintheEMR,aspercompany policy.
4. Onceareferralisapprovedforadmission,scheduleatimewith familyand/orresidenttoobtainadmissionagreement for Medicare and Insurance payerssignedthedayofadmissionorwithin72 hoursofadmission.Ensureallnecessaryadmissiondocuments are uploaded and appropriately categorized/labeled in Point Click Care.
C. Financial Performance
1. Responsibleforcarefullyassessingthefinancialeligibilityportion for each referralpriorto approvingthe admissiontoguarantee thatthe facility will be able to be reimbursed for the care/services provided.
D. Marketing
1. AnalyzetheMarketingdatarelatedtoreferrals,admissions,discharges,and resident case mix to collaborate in developing and implementing the marketing/census development program.
2. Maintainopenlinesofcommunicationtoactasaliaisonbetween transferring agencies and the facility.
3. Promoteongoingcustomerservicethroughoutthefacilityasoutlinedinthe Ambassador Program.
V. OTHER DUTIES
A. DevelopandparticipateinQualityAssuranceProgramImprovementinitiatives as assigned.
B. Observeandimplementfacilitypoliciesand procedures.
C. Performotherdutiesas assigned.
