To maintain a positive public image for Rosewood Mansion on Turtle Creek while actively supporting the catering, sales and marketing team through an efficient and smooth execution of all administrative duties.
Essential Duties and Responsibilities (Key Activities)
The following are specific responsibilities and contributions critical to the successful performance of the position
* Perform typing, filing and telephone answering for the sales, catering and marketing department.
* Receive and distribute inquires
* Book and coordinate all in-house meetings and events
* Prepare and distribute daily and weekly catering function sheets
* Maintain catering and sales filing system
* Maintain accurate files in Delphi/Sales Force
* Maintain a solid working relationship with all internal associates
* Prepare door cards, menu cards, a la carte menus for private events.
* Order AV and floral orders on a weekly basis and review sheets daily for additions/changes, etc.
* Prepare banquet checks and monthly department sales summary
* Provide RFP assistance
* Work with managers on proposals, contracts, client events and special projects
* Assist managers with sales trips and client events
* Assist Sales Managers with monthly production reports
* Maintain weekly and monthly RHR Delphi/Sales Force audit reports
* Coordinate and order collateral and client gifts
* Maintain adequate supplies through Birch Street ordering procedures
* Maintain marketing photo library
* Provide marketing support, particularly during marketing budget process

Job Requirements Experience -
* 1-2 years hotel, restaurant, office, etc. experience preferred
* Delphi and Sales Force knowledge preferred

Education or Certification -
* College degree preferred
