As the Executive Meeting Manager, you will be responsible for overseeing and coordinating all aspects of executive meetings, conferences, and events hosted at our hotel. You will serve as the primary point of contact for clients, ensuring their needs and expectations are met and that events are executed seamlessly. You will work closely with various departments within the hotel to deliver exceptional service and create memorable experiences for our guests.
Responsibilities:
Act as the main point of contact for clients planning executive meetings, conferences, and events, providing personalized service and attention to detail throughout the planning process.
Conduct site visits with clients to showcase event spaces, discuss requirements, and address any questions or concerns.
Collaborate with the sales team to generate leads, secure bookings, and negotiate contracts for executive meetings and events.
Create detailed event proposals, which could include room layouts, catering menus, audiovisual requirements, and pricing estimates, tailored to each client's needs and budget.
Coordinate with various departments within the hotel, including catering, banquets, audiovisual, and housekeeping, to ensure all aspects of events are executed flawlessly.
Serve as the liaison between clients and internal departments, communicating event details, preferences, and changes effectively and efficiently.
Develop and maintain strong relationships with clients, vendors, and industry partners to drive repeat business and referrals.
Conduct post-event debriefs with clients to gather feedback, identify areas for improvement, and ensure satisfaction.
Stay informed about industry trends, market developments, and competitor offerings, incorporating this knowledge into event planning and execution.
Assist in the development and implementation of marketing strategies and promotional activities to drive awareness and demand for executive meeting services.
Maintain accurate records of client interactions, event details, contracts, and financial transactions using hotel management software.
Collaborate with the revenue management team to optimize pricing strategies and maximize revenue potential for executive meeting spaces.
Provide support for other hotel events and functions as needed, including assisting with setup, logistics, and guest services.
Ensure compliance with hotel policies, procedures, and quality standards at all times, promoting a culture of excellence and professionalism.
Requirements:
Bachelor's degree in Hospitality Management, Business Administration, or related field preferred.
Minimum of 2-3 years of experience in event planning, catering sales, or hotel sales, with a focus on executive meetings and conferences.
Excellent communication and interpersonal skills, with the ability to build rapport and trust with clients and colleagues.
Detail-oriented with strong organizational and time management skills, able to manage multiple projects simultaneously and meet deadlines.
Proficiency in Microsoft Office Suite and hotel management software.
Knowledge of audiovisual equipment and technology used in event production preferred.
Flexibility to work evenings, weekends, and holidays as needed to accommodate client events and business demands.
