Key Account & Hospitality Project Manager

Required Education: Bachelors Degree Job Description Quoting, Sourcing, and Sampling:
a. Gather client requirements for custom projects.
b. Obtain quotes from suppliers for the required materials.
c. Source materials and samples for client projects.
d. Present quotes and samples to clients for approval.
Purchasing from Overseas Manufacturers:
a. Coordinate with overseas manufacturers for purchasing goods.
b. Negotiate prices and terms with suppliers.
c. Place orders for required materials and products.
Order Production Management:
a. Develop plans and schedules for order production.
b. Monitor the production process to ensure it aligns with customer requirements and deadlines.
Shipping and Invoicing Compliance:
a. Understand and comply with client's shipping and invoicing requirements.
b. Ensure all documentation and processes adhere to client expectations.
c. Coordinate shipping and delivery schedules to meet client needs.
Vendor Schedule Management:
a. Request and evaluate vendor schedules.
b. Ensure on-time delivery of orders from suppliers.
c. Address any delays or issues in the delivery process.
Quality Control and Compliance:
a. Verify product quality and compliance throughout the production process.
b. Conduct quality checks and inspections as necessary.
c. Address any quality-related concerns promptly.
Reporting and Communication:
a. Prepare and present status reports to the relevant stakeholders.
b. Maintain a high level of communication with all parties involved.
c. Identify problems proactively and work on solution-oriented approaches.
Client Collaboration:
a. Engage in detailed consultations with retail and hospitality clients to understand their specific needs and preferences.
b. Actively participate in brainstorming sessions to translate client visions into viable design concepts.
Design Development:
a. Work closely with our design team to develop detailed plans and prototypes for custom lighting and accent furniture.
b. Provide valuable input based on client feedback, ensuring designs align perfectly with client expectations.
Vendor Management:
a. Source and liaise with trusted vendors and manufacturers to procure materials and components necessary for custom projects.
b. Oversee the production process, conducting regular quality checks and addressing any issues that may arise.
Budget Oversight:
a. Work within allocated budgets, exploring cost-effective sourcing options without compromising on quality or design integrity.
b. Keep accurate records of project-related expenses and ensure adherence to financial guidelines.
Client Satisfaction:
a. Regularly update clients on the progress of their custom orders, providing detailed insights and addressing queries.
b. Proactively seek feedback post-project completion, fostering long-term relationships and client loyalty.
Logistics and Shipping:
a. Handle shipping and receiving of overseas products.
b. Organize shipping logistics for delivering products to the final destination.
c. Resolve any scheduling, delivery conflicts, or delays related to shipping.
Knowledge & Skills • Experience: A minimum of 5 years of hands-on experience in managing custom projects within the retail and/or hospitality sector.
• Technical Proficiency: Proficient in reading shop drawings created from design software (such as AutoCAD or similar) and project management tools for streamlined workflow.
• Industry Insight: In-depth knowledge of current trends, materials, and techniques in the lighting and accent furniture industry.
• Problem-Solving: Strong analytical skills and the ability to troubleshoot complex design and production challenges effectively.
• Communication: Excellent verbal and written communication skills, enabling clear conveyance of ideas and project updates.
• Self-Motivated and Organized: Must be proactive, self-driven, and highly organized in managing tasks and projects.
• Attention to Detail and Problem-Solving Skills: Possess a keen eye for detail and the ability to think critically and solve problems effectively.
• Team Player: Ability to work collaboratively in a small, dynamic, and fast-paced environment. Must be a team player who can effectively communicate and coordinate with team members.
• Effective Communication: Excellent communication skills, particularly in interacting with the President and CEO, as well as other internal and external stakeholders.
