SUMMARY : The Accounting Specialist is responsible for general office duties to support the completion of daily sales deposits, sales reports and administrative duties for the Accounting department. Duties include maintaining office files, documents, and record keeping systems.
ESSENTIAL FUNCTIONS:
Projects the highest level of AIE (attitude, intelligence, and enthusiasm) to both external and internal customers.
Reconcile or note and report discrepancies found in records.
Maintains invoice filing and reports
Codes documents according to company procedures
Check figures, postings, and documents for correct entry, mathematical accuracy and proper codes
Perform general office duties such as filing, answering telephones, and handling routine correspondence.
Comply with federal, state and company policies, procedures and regulations
Calculate and prepare checks for utilities, taxes and other payments.
Match order forms with invoices and record the necessary information.
Operate 10-key calculators, typewriters, and copy machines to perform calculations and produce documents.
Operate computers programmed with accounting software to record, store, and analyze information.
Access computerized financial information to answer general questions as well as those related to specific accounts
WORKING CONDITIONS:
Equipment/Tools Used: Ledger sheets, receipt books, accounting software, Internet, MS Office Suite, EAGLE software, Database user interface and query software, 10-key calculator, basic office equipment.
Work Hours: Generally works Mon.-Fri. days. Available flexible hours as needed (including days, nights, weekends, and holidays).
Work Environment: Works under regular office conditions. Occasional exposure to heat and dust, hazardous equipment (box openers, scissors, staplers, paper cutter), and supplies (ink, glues, chemicals, paint, etc.)
SKILLS, KNOWLEDGE & ABILITIES:
Evidence of the practice of a high level of confidentiality
Knowledge of economic and accounting principles for reporting of financial data
Above average knowledge of mathematics and their applications
Above average ability to communicate effectively with fellow employees, management, customers and vendors using both verbal and written English skills
Excellent organizational skills; ability to prioritize and time-management
Able to understand and follow instructions to complete assignments
Excellent knowledge of administrative and clerical procedures and systems
JOB QUAILIFICATIONS:
Requires attention to detail, concentration and alertness
Availability to work flexible hours
Ability to effectively communicate written and verbally
Minimum AA degree in related field. BA/BS degree in accounting preferred.
1 year of accounting or clerical experience minimum
PHYSICAL DEMANDS:
Ability to talk and hear
Often required to sit and use their hands and fingers, to handle or feel.
Occasional standing, walking, reaching with arms and hands, crouching, climbing or balancing, stooping, and kneeling
Vision requirements – close inspection of documents.
