Job Description:

JOB SUMMARY -

The Associate Project Manager known as the Onsite Solutions Specialist (OS) is responsible to act as the single point of contact upon Occupancy of Team Based Space (TBS) in both first and second generation buildings. The OS will interface and engage with occupants, members of the RE&F team, Company's IOS, IFM and Integrator, and other TBS supporting entities. The OS will act as the single point of contact for occupants as they transition into TBS and is responsible identifying, tracking, mitigating and closing out on space related issues related to occupant feedback to ensure a smooth transition and productivity for occupants in TBS.

I. ESSENTIAL DUTIES AND RESPONSIBILITIES

Single point of contact and occupant relations within TBS. Space utilization and policy support specialist. Identify, track, mitigate and close out on space related issues related to occupant feedback to ensure a smooth transition and productivity for occupants in TBS. Comprehensive capture of occupant experience and feedback for future projects (Lessons Learned). Provide a smooth transition from project phase to occupancy phase. Proactively solve for emergent issues and communicate solution to occupants. Serve as the single point of contact for designated BG admins, Readiness (Post Move Community Group), Project Team(s), and BG leadership to identify, track, mitigate and close out on space related issues. Manage and monitor all space related matters, and coordinate services with multiple vendors and service providers (R2). Manage occupant related informational guides and marketing material to ensure users are educated upon occupancy of TBS.

II. REQUIRED SKILLS, KNOWLEDGE, ABILITIES

Serve as primary point of contact for questions, concerns, data generation & analysis for issues within new space. Track and document all outstanding issues from headcount move and project and provide ROB reporting to RE&F client. Communicate regularly and openly regarding open-issue status. Daily and weekly reporting on status and communication to client on progress of all issues. Partner with the Project Team, as required, to ensure closure of punch list items and communication around changes to client contact. Act as a liaison between clients and facilities service providers. Ensure service providers are resolving issues in accordance with SLA’s and communicating appropriately with the client. Actively manage high demand situations and communicate issues resolution. Educate client on the functionality of space and furniture through orientations in partnership with Change Management CRM’s staff. Partner with both Project Team’s and Facility Management to ensure items are closed out and communicated back to the client. Work closely with other suppliers to understand process requirements around service requests. Partner with Workplace Managers, Project Team, Facilities Managers, Furniture Team, Change Management CRM’s and more in order to: Ensure effective translation of specific space related topics for future project planning. Confirm accuracy of current state (headcount and floor plans). Support BG Admins throughout transition into new space and educate for ongoing support. Track and close out all issues related to project and moves into TBS. Effectively communicate issue resolution and schedule to all stakeholders (e.g. other service providers, client contacts and occupancy planners) and drive deliverables as necessary. Maintain and update the SharePoint tracking tool. Provide reporting to help facilitate and identify trends for future project planning. Responsible for gathering information for special project requirements post move (pilot use/utilization/ect) Ongoing support via virtual email and SharePoint site. Manage and respond to any inquiries and requests to TBS email alias. Develop building specific Knowledge Zone site and manage content. Demonstrate ability to manage multiple projects simultaneously. Aptitude to facilitate feedback meetings for balanced, accurate data collection. Ability to engage in active learning. Positive and professional attitude, self-motivated with eagerness to learn. Empathetic towards the change occupants are facing and able to deal with negative concerns effectively. Ability and desire to succeed in a fast-paced (sometimes ambiguous) dynamic organization with frequent changes in priorities and focus. Aptitude to maintain positive internal and customer relationships with competing interests and priorities. Ability and desire to drive solutions, problem solve and to work and lead in a fast-paced/dynamic organization. Ability to solve problems and deal with a variety of options in varying situations and ambiguity. Ability to document processes, procedures and best practices. Understanding of Microsoft Office including Word, Excel, PowerPoint, SharePoint, OneDrive; Ability to write reports and prepare quality PowerPoint presentations.

DESIRED SKILLS, KNOWLEDGE, ABILITIES

Bachelor’s degree (BA/BS) from a four-year college or university in a related field. A minimum of one to two years of related experience or equivalent combination of education and experience. High Level Understanding and appreciation of Project Management, Planning, Facilities Management Teaming/Consultant and Customer Service skills Critical thinking and problem solving; Risk Identification and Analysis.
