POSITION SUMMARY
We are seeking a highly organized and customer-focused individual to join our Solar Service Department as a Service Coordinator. In this role, you will be the first point of contact for customers seeking solar services, responsible for managing the initial intake process, addressing inquiries, and ensuring a smooth transition to our service teams. The role of the Service Coordinator is to provide direct support for the Monitoring and Service of Oregon and Washington customer's Solar and Storage systems. This role will complete service calls and diagnose technical problems while making sure all deadlines are met with the highest level of customer service. The ideal candidate is positive, technical and customer service oriented. This position is located in the Oregon office and will report to the Service Manager (Located in WA).
RESPONSIBILITIES
Customer Interaction: Act as the primary point of contact for customers inquiring about solar services.
Respond promptly and professionally to customer inquiries via phone, email, and online platforms.
Gather essential information from customers to understand their solar service needs.
Appointment Scheduling: Coordinate and schedule appointments for site assessments, inspections, and service consultations.
Ensure efficient scheduling that aligns with customer preferences and operational capacity.
Documentation and Data Entry: Accurately record and maintain customer information in our database.
Prepare and organize documentation related to customer inquiries, appointments, and service requests.
Customer Education: Provide basic information about solar services and answer general inquiries.
Guide customers through the initial steps of the solar service process and set clear expectations.
Collaboration with Service Teams: Liaise with internal service teams to communicate customer needs and schedule appointments.
Ensure a seamless handover of customer information to the appropriate service personnel.
Issue Resolution: Address and resolve basic customer concerns, escalating more complex issues to the appropriate team members.
Keep customers informed about the status of their service requests.
Coordinating equipment replacement & manufacturer RMA processes for warranty and service.
Qualifications: Previous experience in customer service or a related role is preferred.
Excellent communication and interpersonal skills.
Strong organizational and multitasking abilities.
Familiarity with solar energy or a willingness to learn about the industry.
Proficient in using customer relationship management (CRM) software.
Detail-oriented with a commitment to accuracy in data entry and documentation.
