Vaco Indianapolis has partnered with a client on the north side of Indianapolis to fill an Executive Assistant position. Candidates must have extreme attention to detail, experience in event planning and travel coordination, and experience handling confidential information to be considered.
The Executive Assistant serves as the CEO's primary coordinator and liaison for external relations. The Executive Assistant primarily manages the CEO's calendar and activities to ensure maximum efficiency and value, while assisting with administrative and operational functions.
Position Responsibilities
Scheduling/Calendar Management:
* Complete control of calendar with a clear 3-month vision of events and needs, including but not limited to:
o Removing declined meetings from the calendar
o Invitations for meetings out in a timely manner
o Looking for inefficiencies
o Set up for meetings and events
Project Management:
* Executive Assistant participates in project management duties assigned by executives
* Projects include but are not limited to: event planning, gifting strategies, travel, reports/reporting, etc.
* Track project initiatives within strategic or action plans
* Monitor the progress of projects of other departments that affect the objectives and goals of the CEO
* Manage additional special projects assigned by direct supervisor
General
* Make and maintain business-related travel accommodations
* Create, upload, and maintain document retention in OneDrive
* Provide basic office tasks such as typing, filing, and communications
